User Guide

Getting started with Knowledge Loader.

  1. 1. Install from AppExchange.
    Install the managed package into the org where you manage Salesforce Knowledge.
  2. 2. Assign permissions.
    Assign the Knowledge Loader permission set to users who should be able to export and import articles.
  3. 3. Export articles.
    Open the Knowledge Loader app, go to the Export tab, select a Knowledge list view, choose the articles to export, and click Export Selected. Then download the exported file (see the product demo for more context).
  4. 4. Import articles.
    Open the Knowledge Loader app, go to the Import tab, select the exported file, and click Import. The import status will be displayed next to each article (see the product demo for more context).

Tip: Start with a small list view (5–10 articles) to validate results.

FAQ

Common questions.

Does Knowledge Loader override existing articles?

Imported articles are created as Draft. If a draft version of the article already exists, it may be overwritten during import.

Does it export and import custom fields?

Yes. All custom fields are included, except lookup fields.

Does it export and import record types?

Yes. All Knowledge record types are fully supported and carried over.

Does it export and import images in rich text fields?

Yes. All images embedded in rich text fields (added using Insert Image) are retained during export and import.

Does it export and import categories?

Yes. All Knowledge categories are preserved and applied during import.
